PAYMENT METHODS
1.1 Pricing Structure: Prices are quoted on a term basis unless stated otherwise.
1.2 Sundry Fees: All sundry fees, including costume levy, extra rehearsals for competitions or concerts, exams, and digital videos, are payable during term 4.
1.3 Late Payment Policy: Failure to submit fees by the due date may impact the student's eligibility to continue attending classes. If payment is made subsequently, credits for any missed classes will not be issued.
1.4 Collection Expenses: In the event that APO/DW incurs any expenses related to fee collection, it reserves the right to charge you for these expenses, which may include debt collection, agency fees, legal costs, and associated disbursements.
1.5 Privacy Disclosure: You acknowledge and agree that APO/DW subject to any relevant privacy legislation, may disclose personal information to obtain credit reports either to assess credit rating or to collect fees and for this purpose obtain personal information from an entity that provides commercial credit worthiness information and disclose personal information to credit reporting or collecting agencies before, during or after entry of this agreement.
1.6 Class Cancellation: APO/DW retains the right to cancel a class if there are fewer than 10 students enrolled for a term. In such instances, refunds for class fees will be applicable from the date of cancellation.
2.1 Enrolment and Withdrawal: Students are enrolled on a term basis. Written notice is required if a student wishes to withdraw.
2.2 Withdrawal Fee: The withdrawal fee applied is calculated as the tuition fees payable for the full term less any tuition charges accrued for the term. The Withdrawal Fee shall not exceed 10 weeks and represents the opportunity cost of declining another student’s application in favour of the withdrawing student at the time of enrolment. To avoid confusion, parents / students are asked to offer notice of withdrawal in writing as a student’s mere discontinuation of classes will not be deemed a ‘Withdrawal’.
2.3 Medical Withdrawals: If a student withdraws for medical reasons and is expected to be unfit to attend classes for 30 consecutive days or more, fees will be charged on a pro-rata basis for classes already attended. A valid medical certificate must be provided within 30 days of withdrawal confirming the date the student became unfit to attend classes. Medical certificates submitted after this period will not be accepted.
3.1 Refund and Credit Policy: All group class fees, including tuition and related charges, are non-refundable, non-transferable, and not eligible for credit, except where stated below.
3.3 Non-Attendance Policy: Refunds or credits will not be provided for occasional non-attendance, for any reason whatsoever, including changes of mind.
3.4 COVID-19 Policy: Students and visitors must not attend classes or enter the building if:
They may return once symptoms have cleared. DW reserves the right to refuse entry to anyone who appears severely unwell, in the interests of community health and safety.
3.5 Credit Redemption: Credits must be redeemed within 6 months from the date of issue.
4.1 Attendance and Punctuality: Students are required to attend all enrolled classes, scheduled rehearsals, and performances, and must be punctual at all times. Persistent failure to comply with these requirements may result in restrictions on class participation or exclusion from the Junior/Senior Concert.
4.2 Grooming and Uniform: Students must wear the correct uniform, footwear, and hairstyle for each class (see uniform requirements). Baggy clothing, jewellery (including watches), and unauthorised accessories are not permitted. Hair must be neatly tied back; for classical ballet, hair must be worn in a bun. DW may limit or pause a student’s participation in class if these requirements are repeatedly not met, despite prior warnings.
4.3 Placement and Competency: APO/DW reserves the sole discretion to assess the competency level of each student and determine their appropriate class, performances, and competitions. Students are expected to attend classes in their designated age group unless APO/DW decides that they should move to a younger or older age group.
4.4 Class Duration: Classes advertised as one hour will run for 55 minutes to allow students time to change shoes, have water, and a snack before the start of their next class. Classes advertised as 45 minutes will run for the full 45 minutes.
4.5 Classroom Access: Families and friends are not permitted inside the classroom except on Open Days. Classes may be observed through the glass viewing windows.
4.6 Premises Maintenance: All patrons and guests are responsible for maintaining the APO/DW premises in a neat and orderly manner.
4.7 Personal Belongings: All patrons are responsible for their own goods and property. APO/DW will not be liable for any loss or damage to anyone's property, including uniforms or belongings left in the studio. It is recommended to label all personal items.
4.8 Respectful Behaviour: Students are expected to behave respectfully toward teachers, fellow students, guests, and APO/DW staff. Disruptive or disrespectful behaviour may result in the student being asked to observe the class without participating.
4.9 Indemnification: Students and their guests shall indemnify APO/DW for any loss or damage to APO/DW’s property caused directly or indirectly by the patron and/or their guests.
4.10 Liability and Injury: APO/DW shall not be liable for any injuries sustained by a student or patron while participating in a class or visiting the APO/DW premises. Accordingly, students and parents agree to hold APO/DW harmless against all actions, proceedings, damages, costs, expenses, claims, and demands resulting from any loss or injury.
4.11 Collection of Students: Families are asked to collect students promptly after class and ensure children under 15 do not leave the premises without a parent or guardian.
4.12 Photography and Filming: To protect student privacy and child safety, recording or filming is not permitted during classes, rehearsals, or performances, except with prior written permission from DW or during designated APO/DW open days.
5.1 By enrolling, parents, guardians, and students agree that APO/DW may photograph, film, record, or livestream students during APO/DW activities. This material may be used worldwide, across all media (including print, digital, social media, and broadcast), with no time limit. APO/DW owns all rights to this material and may use a student’s image and, for children, first name only, for APO/DW-related purposes.
APO/DW owns and controls all copyright to routines and choreography produced by APO/DW (‘works’). These works may not be reproduced or performed outside of DW activities without the prior written consent of APO/DW.
APO/DW strives to provide consistent teachers, particularly for junior classes. Occasionally, substitute teachers may be used to conduct classes without prior notice, for any reason.
8.1 Classes are provided by APO/DW, not by a specific teacher. While we aim to keep the same vocal teacher for consistency, substitute teachers may occasionally run classes without prior notice.
8.2 Cancellation Policy: Cancellations for solo vocal lessons require a minimum of 24 hours’ notice and must be submitted by email to info@danceworldstudios.com. A cancellation is only valid once a confirmation email is issued by APO/DW. If these requirements are not met, the class remains payable and any prepaid fee for that session will not be refunded.
8.3 If a student is unwell with severe cold or flu symptoms, or tests positive for COVID-19, they must not attend class. Please notify DW by email by 8:30 am so the teacher can be informed. A medical certificate is required in this case to avoid forfeiting any prepaid fees.
8.4 Refunds cannot be offered for no-shows or late cancellations, as teachers must be paid for being present at the venue at the scheduled time
8.5 If DW cancels a solo class due to a teacher’s illness or injury and no substitute is available, the class will not be forfeited and will be rescheduled at a mutually convenient time.
8.6 If a student is unwell or injured for 30 consecutive days, they may be eligible for a credit for missed classes during that period. A medical certificate or other supporting documents will be required to confirm the period of incapacitation.
